Job site photo documentation: a practical contractor checklist
Good job-site documentation helps explain what was found, what work was performed, and what the finished result looked like. The aim is a useful record, not hundreds of unlabeled photos.
Before starting work
Take establishing photographs of the area, equipment and relevant existing conditions. Record the date, customer and job location in your work record rather than relying only on your phone's gallery.
During the job
Capture meaningful work stages, concealed conditions and relevant part or model labels. Pair important photos with brief notes so someone who was not on-site can understand them later.
After completing the job
Document the finished condition, note the work completed, and record any recommendations or work that still needs attention. Avoid claiming a photo proves anything it does not actually show.
Protect customer privacy
Get appropriate permission before capturing private spaces or sharing images, limit access to job records and keep backups secure. Follow company policies and applicable requirements for documentation.
